Privacy notice

1. Who we are

Sysmera Limited (“Sysmera”, “we”, “us”), registered in Kenya under PVT-RXUMDRAV and with KRA PIN P052408432D, of Prism Towers, 14th Floor, 3rd Ngong Avenue, Upper Hill, Nairobi, is the controller of personal data processed through this website (sysmera.com) for the purposes described below.

This notice covers sysmera.com only. Personal data collected through OriginTrace or other platforms we build and operate for clients is described in the data-protection agreements those clients hold with the farmers, enumerators and other data subjects concerned — see our data protection page for how we approach that work.

2. What this site collects

When you use the enquiry form on our Contact page, we collect the information you enter: your name, organisation, work email, telephone number if you give one, the service you are interested in, and your message. We use this only to respond to your enquiry.

At launch, this site does not use cookies for tracking and does not run any analytics service. If cookieless analytics — which does not use cookies or identify individual visitors — is introduced in future, this notice will be updated first.

3. Lawful basis

We process enquiry-form data with your consent, given by ticking the consent checkbox when you submit the form, and on the basis of our legitimate interest in responding to enquiries about our work.

4. Retention

We keep enquiry-form submissions for as long as needed to respond to you and for a reasonable period afterwards in case of follow-up, then delete them. We do not use enquiry-form data for marketing.

5. Sharing and international transfers

Enquiry-form submissions are delivered to us by email through FormSubmit, our form-processing provider, and this website is hosted by a third-party hosting provider. Where these providers process data outside Kenya, we rely on their published security and data-protection safeguards and only use providers who commit contractually to protecting personal data. We do not sell personal data or share it with anyone else.

6. Your rights

Under the Kenya Data Protection Act, 2019 you may ask us to confirm what personal data we hold about you, to correct or delete it, to restrict or object to its processing, and to withdraw consent at any time. To exercise any of these rights, contact us at data.protection@sysmera.com.

7. Complaints

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to Kenya’s Office of the Data Protection Commissioner (ODPC) at odpc.go.ke.
